Job Description

· Reports to Billing Manager

· Oversee the duties and coverage of the dispatchers and assist with billing and customer reconciliations.

· Ensure all boarding bills are completed and cross-referenced to the dispatch sheets.

· Ensure boarding bills are returned and are signed by the Flight Attendant and the Driver/Coordinator.

· Ensure all dispatch sheets are completed and cross checked against the boarding bills.

· Ensure all aircraft changes and extra deliveries are noted on the boarding bills & dispatch sheet.

· If a flight cancels, ensure the time of the cancellation is noted and what if anything was catered is documented.

· If there are any discrepancies in the boarding bills, ensure details are conveyed to the billing department and updated in a timely manner.

· Ensure all counts are distributed to operations and purchasing in a timely manner.

· Ensure all paperwork is given to billing in an organized and timely manner.

· Ensure all labels are printed and given to production in a timely manner.

· Ensure all supplies are available and ordered as needed.

· Train all new dispatch employees.

· Create weekly dispatch schedules.

· Communicate with department managers to ensure excellent internal customer service is delivered by dispatch.

· Meet with dispatchers to ensure clear communication.

· To ensure timely payment, reconcile customer billing and submit to customer.

· Assist the Billing Department and Controller as needed.

 

Skills & Qualifications

· Able to understand, read, communicate, and write in English.

· Must be reliable and professional.

· Able to work as a team player and efficiently direct team.

· Able to work in fast paced environment.

· Computer literate – use of Excel & Word

· Strong customer service skills
